One organizer-to-review workflow

Protect the interview without asking recruiters to rebuild how they schedule.

Start from the open Outlook appointment and bring the candidate, schedule, and meeting-link context into an authenticated setup for confirmation. Role, hiring-manager, and client context are selected separately in Evidize so the accountable people and evaluation standard remain deliberate.

Evidize prepares protected-access content for the open invitation, while the organizer chooses whether to edit, save, or send it through Outlook. The candidate receives a disclosed preparation path, and the resulting session keeps status, available findings, and reviewer follow-up connected without turning a signal into an automatic employment decision.

  1. Spend less time rebuilding interview details

Prepare candidate, schedule, and meeting context from the active appointment, then confirm the role and accountable team in Evidize.

  2. Give candidates a clearer path to the meeting

Place disclosed preparation and protected-access instructions into the invitation your recruiter already owns, while your organization provides a clear route for support or an alternative process.

  3. Keep screening context with the interview record

Carry active, pending, incomplete, and risk-flagged work into one authorized review surface so the next action is based on context rather than a passing alert.

From appointment to human review

Keep the organizer in control from invitation through follow-up.

Evidize adds a protected candidate path around the remote interview your team already schedules. It does not silently send the invitation or make the hiring decision.

  1. 01 · Prepare the interview Organizer Confirm the candidate, role, and meeting context.

The organizer starts from the relevant Outlook appointment, reviews the candidate and meeting-link context, and confirms the role and accountable team before creating protected access.

Interview, time, Teams setting, and scheduling action together
  2. 02 · Find the review priority Review team See which interview records need attention first.

Bring the candidate, role, owner, reason for attention, and next review action into one queue so the right session is opened first.

Candidate, role, reason, and next action
  3. 03 · Record the next step Authorized reviewers Carry the evidence into an authorized human decision.

Keep the reviewer-selected outcome and next interview stage beside the role, interview evidence, and scorecard so people remain in control.

Outlook remains organizer-controlled, and screening observations support human review rather than automatic candidate decisions.

Microsoft and decision boundaries

Outlook stays organizer-controlled. Hiring stays human-owned.

Evidize works with the appointment the organizer has open and the authenticated organizer workspace. It is not a general mailbox sync, does not send calendar events on the organizer’s behalf, and does not replace thoughtful candidate review.
  • The current Outlook workflow uses the appointment the organizer has open; it does not inspect general mailbox history, contacts, files, calendar history, or Outlook attachments.
  • Evidize works with the meeting link already in the appointment. It does not currently provide a separate Microsoft Teams add-in.
  • Screening observations provide context for follow-up, not proof of candidate intent or an automatic reason to reject someone.

Answer the organizer, security, and candidate questions before rollout.

Clear buyer answers on the Outlook handoff, candidate communication, Microsoft access, and human decision ownership.
Does Evidize replace the recruiter’s Outlook scheduling workflow?

No. The organizer starts from the open Outlook item, confirms the candidate and meeting context, and keeps control of the invitation. Evidize adds the disclosed candidate check-in, protected meeting access, and connected review record around that workflow.

Can Evidize send the Outlook appointment automatically?

No. Evidize can place prepared invitation content into the currently open item. The organizer reviews it and controls whether to edit, save, or send the appointment through Outlook.

Which appointment details can be prepared for confirmation?

The current Outlook workflow can prepare candidate or attendee details, the scheduled time, and a meeting URL found in the open appointment. Requisition, hiring-manager, and agency-client context are selected separately in Evidize.

Does the Outlook add-in read the entire mailbox?

No. The current workflow uses context from the open message or appointment. It does not inspect general mailbox or calendar history, contacts, files, or Outlook attachments. Detailed current permissions are documented in the Privacy Notice and should be confirmed during security review.

Is Evidize a Microsoft Teams add-in?

No. The current organizer integration is an Outlook add-in. It can use the meeting link already present in an Outlook appointment, including a Teams meeting link, but there is no separate Teams add-in today.

What does the candidate receive?

The prepared invitation can direct the candidate to a disclosed check-in flow with notice, preparation steps, readiness checks, and protected meeting access. The hiring organization should also provide its own privacy information and a clear accommodation or alternative path.

Does screening decide whether the candidate advances?

No. Screening status and supported observations help authorized reviewers identify what may need clarification. The hiring organization remains responsible for reviewing the context, communicating with the candidate, and making every employment decision.
